IT Software Asset Management Analyst

Remote Dallas, TX

HF Sinclair is seeking an IT Software Asset Management Analyst who will be primarily responsible for ensuring accuracy and compliance across all software IT Assets within the organization including, but not limited to, tracking and monitoring of all events throughout the asset lifecycle from requisition, purchase, and receipt of an asset through to the retirement and proper disposal of the asset to include any installs, moves, adds, changes to the asset. This role will assist in overseeing continual enforcement of IT Software Asset Management processes, procedures, and controls for governing IT assets through the asset lifecycle. In addition, this role will support IT Annual Operating Plan execution and drive cost optimization initiatives related to software.


Job Duties

  • Ensures the IT Asset Management repository data accuracy and promptly addresses process and data sources deficiencies and/or opportunities related to software assets and deployments.
  • Maintains contractual compliance for both license count and allowed deployment/use to provide a risk based position on a variety of risk-based vendors (Microsoft, SAP, Autodesk, Oracle, Salesforce, etc)
  • Assists in the formulating and implement processes, procedures and systems for tracking and analyzing software from requisition through retirement.
  • Assists in the governing of IT Software Asset Management audits and compliance activities including inventory audits, expenditure tracking, and process audits.
  • Drives towards a strategic integrated solution that supports the reduction of overhead and enables cohesive approach to Asset Management across the business.
  • Performs analysis and reporting of deployed software installations and identify any opportunities for software license optimization, harvesting, and reclamation of licenses for underutilized software entitlements
  • Supports the contract execution and renewals processes by providing accurate information related to license allocation/usage, and maintain open dialog regarding license footprint.
  • Provides data and reporting of KPI’s and trends to IT department and others in ad-hoc, weekly, monthly and as needed.
  • Promotes asset management technology capabilities through identification of defects and enhancements, documentation and prioritization of requirements, and automation of routine manual processes.
  • Participates in implementation of asset management policies with IT, procurement, finance, legal, audit and compliance groups, and other external vendors and auditors.
  • Performs pricing analysis to determine potential cost to organization and seek out opportunities for optimizing asset spend (SaaS, Perpetual, Cloud, Hardware, etc).
  • Executes the tracking of IT purchase orders to increase IT Asset Management compliance and reporting accuracy.
  • Participates in the creation of software standards, software catalog updates, non-standard process exceptions and knowledge articles related to end user software products.
  • Accountability for portions of cloud assets, billing, and optimization of impacted assets
  • Writes clear, concise, and accurate documentation/knowledge articles, and trains users on software asset management processes, policies and technologies.


Special assignments or tasks assigned to the employee by their supervisor, as determined from time to time in their sole and complete discretion


Experience

A minimum of 4 years of job related experience is required.


PREFFERRED EXPERIENCE:

ServiceNow experience, specifically integration and use of the Asset Modules (SAM Pro), License management, distribution, and reharvesting experience, SAP ECC, BPC, Ariba experience, CSAM and/or CHAMP Certification.


Education Level

A minimum of a Bachelor’s Degree, in Information Technology or Finance preferred, or an equivalent number of related years of work experience (four years) is required


Required Skills

Advanced understanding of IT Asset Management processes and technologies; working knowledge of finance planning and budget activities; understanding of information systems concepts/design/development, systems development life cycle; good communication, decision-making, analytical, time-management, problem solving and interpersonal skills. Strong cross-team communication and collaboration skills, both verbal and written. Intermediate to advance reading skills and ability to perform mathematical calculations at the basic level.


Supervisory/Managerial Responsibility

May provide oversight of managed service provider tasks and performance


Work Conditions

Office based with US, and potentially international, travel up to 10% by land and air. Occasionally required to work long hours which may include nights, weekends, holidays for regularly scheduled maintenance and emergency work and support as well as on-call availability. At times, required to work in warehouse/plant environment and refinery/industrial environment, includes but not limited to, work near moving mechanical parts and/or rotating equipment, loud noise or vibrations and varying road conditions. May be required to work outdoors and subject to all types of weather conditions including inclement weather. At times may be exposed to risk of electrical shock


Physical Requirements

Job conditions require standing, walking, sitting, twisting, stooping, crouching, kneeling, lifting or carrying up to 50 lbs., pushing or pulling up to 50 lbs., climbing up to 15 ft., working in confined spaces, talking or hearing, making visual inspections, making precise hand and finger movements, reaching or grasping, perceiving color differences, and ability to wear personal protective equipment and a respirator during emergency situations as needed (beards not permitted).

Salary Range: The salary range includes the minimum and maximum base salary values. A candidate's offer can vary depending on differentiating factors, including but not limited to education, training, or experience.


This position has a salary minimum of $64,900.00, and maximum of $113,500.00.
