Overview: Responsible for bringing a creative attitude and spirit to our Talent & Culture Team. You will provide administrative assistance within the Talent & Culture Team. Your main responsibilities will be welcoming new associates to Rosewood, assisting with their on-boarding and training, supporting our recruiting efforts, and providing benefits information and guidance. You will be given the opportunity to bring new ideas and ways in which we can improve our associate engagement efforts and events. 


Responsibilities:

  • Embody the Rosewood spirit and effectively support cultivating the Rosewood Calling and Sense of Place. 
  • Maintain complete knowledge of and comply with all Federal and State employment laws, departmental policies, service procedures and Human Resources standards. 
  • Ensure that Human Resources standards are maintained at a superior level on a daily basis. 
  • Anticipate associates’ needs, respond promptly and acknowledge all associates throughout your workday. 
  • Maintain a professional and positive attitude at all times. Assist the Talent & Culture Director and Managing Director with assigned projects. 
  • Inform the Talent & Culture Director of any associate complaints, concerns and potential conflicts that arise. 
  • Monitor and maintain cleanliness, sanitation and organization of all Administrative and Human Resources assigned work spaces. 
  • Maintain complete knowledge of the Rosewood Associate Guidebook to include all current policies and standard operating procedures. 
  • Ability to articulate Rosewood policies, benefits and company standards. 
  • Greet all associates entering administrative office and assist with their inquiries. 
  • Maintain accurate to do, trace files and communicate daily traces to Talent & Culture Director. 
  • Maintain employee files, I9 work authorization and background checks. Accurately maintain, update and enter all associate information into the ADP/ HRIS systems. 
  • Assist all new hires with ADP online on-boarding, new hire paperwork, online benefits enrollment and orientation to hotel. 
  • Accurately post all new job listings on the appropriate recruiting applicant systems to include Handshake and Culinary Agents.
  • Assist with off boarding associates and entering appropriate data into benefits and ADP/ HRIS systems. Complete a bi-weekly inventory and supply requisitions to maintain office supplies. 
  • Reconcile month end financial billing invoices for Talent & Culture department. 
  • Assist associates with updating personal information to include tax information, completing benefit enrollment/termination forms and beneficiary information. 
  • Prepare monthly calendar of events, employee birthday/anniversary list, celebrations and Rosewood Impacts events. 
  • Update all hotel signage and refresh digital presentation weekly for associate cafeteria. 
  • Screen potential job applicants and conduct reference checks as assigned. 
  • Prepare 90-Day Introductory Review, Quarterly check-ins and annual performance review notifications. Audit associate’s files, I-9, MVR, Background check to ensure compliance. 
  • Assist with back of house beatification, maintenance, cleanliness and look of associate areas. All other assigned duties as required. 
  • This position reports directly to the Director of Talent & Culture.

QUALIFICATIONS: 

  • Experience :Minimum one-year clerical or generalist experience, preferably in a human resources environment. Prior Human Resource experience in a hotel is preferred. 
  •  Education: High school diploma or equivalent education required. General Skills: Must be able to perform job functions with attention to detail, speed and accuracy; prioritize, organize and follow-up; be a clear thinker, remaining calm and resolving problems using good judgment; follow directions thoroughly; understand associate’s needs; work cohesively with co-workers as part of a team; work with minimal supervision; maintain a high level of confidentiality with associate and guest information and pertinent hotel data. 
  • Schedule: Part Time position- Flexible availability is required for this position to include evenings (average work schedule will be 3 days a week) 
  • Technical Skills: Proficiency with Microsoft Office products; ability to type a minimum of 45 words per minute. Prior ADP Workforce Now experience a plus Language: Required to speak, read and write English, with fluency in other languages preferred. 
  • Physical Requirements: Must be able to exert physical effort in transporting a minimum of 35 pounds, endure various physical movements throughout the work areas, reach up and down, remain stationary at times throughout work periods, and satisfactorily communicate with guests and co-workers to their understanding. 
  • Licenses and or Certifications: None required
