Shipping & Receiving Coordinator

Lake Forest, IL

The Chicago Bears are hiring a Shipping & Receiving Coordinator for our headquarters (Halas Hall) in Lake Forest, Illinois. Strong organizational and time-management skills are essential as this role involves managing all shipping and loading dock activity. The Shipping & Receiving Coordinator is part of the Building Operations team which is responsible for multiple disciplines to ensure functionality, safety, and efficiency of Halas Hall. This team is accountable for daily office operations, repair and maintenance, capital projects, event management, communications management, emergency management and business continuity. This is an hourly, non-union, position with primary hours being 7:30AM until 3:30PM Monday through Friday.

Responsibilities

  • Coordinate all outgoing daily shipments spread across various carrier services
  • Maintain a detailed electronic tracking log for all daily inbound packages
  • Serve as main contact and foster strong working relationships with USPS, FedEx, UPS, and other delivery service account managers and drivers
  • Sort and distribute all inbound mail and packages throughout the facility
  • Collect, meter, and prepare all daily outbound United States Parcel Services Mail for daily pick up
  • Check all deliveries against the delivery note to ensure quality and quantity of shipments from carriers
  • Support processes for departing employees as well as packing and shipping personal items as needed
  • Assist various departments with mass mailings when needed
  • Maintain sufficient inventory of all general office supplies across two mailrooms and assist with special orders
  • Offload all pallets from deliveries trucks; along with movement of pallets throughout campus
  • Assess storage needs across various departments and identify both short-term (seasonal) and long-term solutions
  • Develop and maintain efficient procedure for inter-departmental mail between Halas Hall, Soldier Field and 123 N. Wacker offices
  • Comply with all health and safety regulations
  • Other projects and duties as assigned, including departmental or organizational administrative work as needed


Qualifications

  • Associate degree in related field plus 1 year of relevant trade experience or High School diploma/GED plus 3 years of relevant trade experience
  • Proficient forklift & pallet jack operator, including having or the ability to obtain an operator’s license
  • Previous loading dock and logistics experience a plus 
  • Strong computer skills (Microsoft Outlook, Word, Excel, and Teams)
  • Strong ability to operate with discretion to ensure privacy and confidentiality of Club business
  • Must be able to work independently with proactive problem-solving and reasoning skills
  • A collaborative service approach, commitment to teamwork, attention to detail and demonstrated commitment to process improvement
  • Must be organized, able to manage multiple projects, and excel in an ever-changing work environment
  • Professional demeanor and strong communication skills required
  • Must be physically capable of strenuous activity over extended periods of time
  • If needed, be able to work non-traditional hours, in non-traditional settings, including evenings, weekends, and holidays as required
