Senior Office Manager

We are searching for an experienced Senior Office Manager to organize and coordinate office operations and procedures for our state-of-the-art flagship Collaboration Center in Chicago. This role will be responsible for ensuring organizational effectiveness, efficiency, and safety, including COVID-19 protocols.


The ideal candidate should have experience handling a wide range of administrative and executive support-related tasks and a proven ability to work independently with minimal supervision. 

 

We are looking for an individual who is seeking a long-term career in administration and has a passion for all things office operations. The Senior Office Manager must be well-organized, flexible, and enjoy the administrative challenges of supporting team members in a fast-paced, distributed office environment. 

 

Oftentimes the first impression of Bounteous, this role requires someone who is approachable, professional, energetic, and thoughtful. This is an on-site position at our Chicago Collaboration Center during core business hours (Monday – Friday, 9 am – 5 pm CT).  


Role and Responsibilities

  • Oversee on-site events and meetings, facilities maintenance, and office operations
  • Partner closely with the Lead Office Manager to provide hospitality to visitors; coordinate weekly lunches, client meetings, and occasional after-hours events
  • Serve as the point person for maintenance, mailing, shopping, supplies, equipment, bills, and other errands  
  • Conduct routine facilities maintenance (such as replacing lightbulbs, regularly checking bathrooms, sinks, and other equipment for issues) 
  • Manage and coordinate maintenance requests with landlord and vendors 
  • Manage on-site security, including the setup of new key cards and serving as the primary contact for our alarm vendor 
  • Support the Lead Office Manager in maintaining our internal wiki as well as regularly communicating Collaboration Center news, happenings, and infrastructure-related updates to team members  
  • Provide support to virtual team members as well as other North America Collaboration Center locations
  • Partner with Talent & Culture to support and enforce office policies 
  • Organize Collaboration Center operations and procedures 
  • Partner with System Administration to prep and maintain office equipment, including phones and computers 
  • Manage office supply and equipment maintenance and ordering 
  • Own relationships with vendors, service providers, and landlord 
  • Participate in contract and price negotiations with office vendors and service providers 
  • Manage co-working memberships; support team members as necessary via local co-working managers  


Preferred Qualifications

  • 2+ years of office management, administrative, and/or assistant experience 
  • Experience managing a small/medium-sized office environment (~100 people or less) 
  • Event planning/coordination experience  
  • Proven ability to pick up new technology/tools quickly and proficiently 
  • Highly skilled in Office 365, including Outlook, Word, Excel, and PowerPoint  
  • Proficient with Google Workspace, Zoom, and Slack; familiarity with Jira/Confluence a plus 
  • Superior time management skills; proven ability to manage multiple projects in a fast-paced environment  
  • A strong attention to detail and accuracy; exceptional organizational and project management skills 
  • Solution-oriented, strong problem-solving skills, and a positive, constructive attitude  
  • Strong communicator with all levels of leadership, management, and staff 
  • Flexible and readily adaptable to changing circumstances; willingness to wear “multiple hats” and jump into projects as needed 
  • Proactive; strong leadership and decision-making skills 
  • Excellent verbal and written communication skills 
  • Bachelor’s degree or equivalent work experience preferred 
  • Reliable transportation to be physically on-site at our Chicago Collaboration Center during core business hours (Monday – Friday, 9 am – 5 pm CT) 
  • A flexible schedule; willingness to work outside of core business hours as needed to support key Collaboration Center events  
  • The ability to regularly lift 15 pounds (office supplies, etc.)  
  • To ensure the safety of all our team members, Bounteous requires that all team members who enter the physical Collaboration Center be fully vaccinated, unless medically or religiously exempt
