Real Estate Coordinator
CORE RESPONSIBILITIES:
Real Estate
- Assist in coordination of a large, multi-state portfolio of residential and commercial real estate acquisition, sale, use, and development activities
- Assist in the preparation, review and negotiation of purchase and sale contracts, lease agreements, deeds, development agreements, easements and other conveyance, use and development instruments, 1031 tax deferred exchange transaction documents, eminent domain documents, and other legal instruments
- Review and analyze title commitments, exception documents, and surveys; identify and assist in the resolution of title and survey issues; and prepare title objection letters
- Coordinate all closing activities and act as a point of contact for opposing parties, title companies, surveyors and other third parties and vendors
- Review closing documents for accuracy and completeness and ensure timely compilation of closing binders for all acquired and leased sites
- Docket and manage relevant contractual deadlines and keep members of the Real Estate department, in-house attorneys and Executives, as requested, apprised of such deadlines and other contractual requirements; ensure Fixed Assets and Treasury departments are informed of upcoming real estate closings; provide outside tax consultants with information on acquired and sold sites; and provide other support and information pertinent to real estate transactions internally and externally, as requested
- Act as a liaison between the Legal Services department and the Real Estate department (including multiple in-house real estate project managers), other internal business clients, and third parties and vendors on real estate matters
- Assist in education of business clients on real estate acquisition and development legal issues and procedure
- Meet regularly with in-house Legal real estate team, including attorneys, other real estate coordinator(s), and support staff, to inform as to status of real estate matters and to review and address real estate docket items and other real estate matters of importance or which need attention
- Attend and represent the Legal Services department in periodic real estate status meetings with members of Executive team and Real Estate department
General and Administrative
- Ensure maintenance of organized real estate files, consistent with departmental requirements, and accurate and current electronic real estate docket (and assist with weekly disbursement of same to members of the Real Estate department, in-house attorneys and Executives, as requested), and compliance with real estate purchase agreements
- Act in a general legal support role for in-house corporate counsel and the Legal Services department, as needed, by assisting in the preparation and review of miscellaneous business or litigation documentation, the conduct of legal or other research, and the performance of general legal support tasks
- Timely and accurately enter and update status of projects in matter management system and contracts in enterprise contract system
- Other duties assigned as needed
EDUCATION AND EXPERIENCE:
- Education:
- HS Diploma or equivalent required
- Certification as a legal assistant or equivalent experience
- Experience:
- Minimum of 3 years real estate acquisition transaction experience in a law firm, title company, or corporate legal department, with experience preparing common real estate transaction documentation and familiarity with real property title matters
SKILLS AND PHYSICAL DEMANDS:
- Proficient in Microsoft Office, Microsoft Word, and ability to learn new software applications and computer programs, working knowledge of LexisNexis or West on-line legal research (or willingness to learn), ability to type efficiently and prepare own documents and correspondence without reliance on dictation, and strong drafting, negotiation and oral communication
- Typical Physical Demands:
- Requires prolonged stationary positions
- Occasional moving of equipment and/or lifting up to 50 pounds
- Continuous operation of office equipment, e.g. computer keyboard, copy machine, printer, and calculator
- Ability to perceive sound at normal speaking levels with or without correction, and visual acuity to perform activities such as preparing and analyzing data and figures, transcribing, viewing a computer terminal, and extensive reading
- Occasional evening or weekend work
Hybrid schedule option: This position offers the option to work remotely 2 days per week after the training period is complete. If you prefer to work in-office, then you also will have the option to work onsite 5 days per week.
