Project Coordinator Construction

Beverly Hills, CA

We are seeking a reliable and organized Construction Project Coordinator to support our Project Manager team. You will contact vendors for quotes, organize vendor paperwork, create packing slips for materials, submit subcontractor purchase orders, complete permit applications, and schedule site walkthroughs. When necessary, you will also make travel arrangements for the Project Manager and other supervisors as well as schedule client meetings. We prefer candidates who have at least one year of administrative support experience and who are familiar with construction project timelines, but we are willing to train the right person.


RESPONSIBILITIES  

  • Make calls to vendors to obtain quotes for different project tasks
  • Submit subcontractor purchase order requests
  • Organize vendor and other project paperwork
  • Complete permit applications and follow through to make sure they are approved
  • Schedule site walkthroughs at the close of the project
  • Handle travel arrangements for supervisors
  • Schedule client meetings
  • Assist the turnover of stores to retail operations
  • Code and entered purchase orders and invoices into the accounting system
  • Do takeoffs for lighting, flooring and various owner supplied materials.
  • Order materials and coordinated deliveries
  • Create and manage job folders per project
  • Install visual elements and other specialty items when needed.


QUALIFICATIONS

  • Previous experience administration experience
  • Intermediate to advanced Word, Excel and PowerPoint
  • Knowledge of basic travel, accommodation and expense procedures
  • Understanding of the fundamental budgeting processes and controls
  • Strong administration/organizational / interpersonal skills
  • Strong verbal and written communication skills
  • Friendly and polite disposition and phone manner
  • Ability to prioritize workload, ability to work to deadlines
  • Ability to work autonomously as well as being a team player
  • High level of attention to detail
  • Ability to be open minded and receptive to change
  • Analyze options and apply solutions
