Payroll Specialist

San Jose, CA

The Payroll Specialist will be responsible for the administrative tasks associated with Payroll for all our locations throughout California.


Salary: $80,000. - $95,000.


What You’ll Do

  • Adopt and demonstrate alignment with Caliva Values – Integrity, Positive Energy, Bias to Action, Connectedness, Truth Seeking
  • Support Payroll Manager with bi-weekly payroll functions
  • Review all timecards for accuracy and completion
  • Monitor employee hours for full-time status and benefits eligibility
  • Sort paychecks for distribution
  • Maintain and monitor Humanity (timekeeping platform) for Driver hours and meal breaks
  • Export hours from Humanity and prepare macro file in coordination with Payroll
  • Track Driver bonus incentives
  • Prepare Driver data for cost sharing
  • Update tax forms, direct deposit, etc., in ADP Workforce Now
  • Create and maintain bi-weekly, monthly and quarterly reporting
  • Coordinate for all FedEx’s with final and manual checks
  • Payroll filing
  • Other duties and responsibilities as assigned by management.


What You Have

  • Advanced knowledge in Excel required
  • Familiar with CA Wage and Hour Laws
  • Multi-tasking and organizational skills


Working Environment

  • Operations: This position will work in an indoor manufacturing facility with controlled temperatures; may be exposed to bright lighting, loud equipment, airborne particles, moving mechanical parts, and working in proximity with staff and vendors.
  • Retail: This position will work in an indoor facility with controlled temperatures; may be exposed to bright lighting, loud equipment, airborne particles, and working in proximity with customers and staff.
  • This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, copiers, filing cabinets and may work in proximity with customers and staff.
  • Must be able to travel to other office locations.
  • Frequent travel required.
  • Requires travel to different dispensaries and locations throughout assigned area, particularly during peak times.


Job Requirements

  • Work revolves around objectives, projects, and priorities, not hours; must be able to work weekends, holidays, and occasional overtime as needed.
  • Must be able to stand, walk, lift, sit, and bend for a majority of their work schedule.
  • Must be able to travel to other office locations.
  • Ability to use a computer and calculator for 8 hours or more.
  • Required to have a valid driver's license with acceptable driving history. Must have own transportation.
  • Must be 21 years of age or older.
  • Must comply with all legal or company regulations for working in the industry.
  • Selected candidates will be required to complete a post offer, pre-employment background check with the local law enforcement or Police Department.
