Payroll Administrator

Mount Prospect, IL

The Payroll Administrator will execute weekly and bi-weekly payrolls for up to 13 locations and 1500 employees across multiple states. The person in this position will also prepare, analyze and distribute periodic & on-demand reports for management. This position requires the comprehensive knowledge of ADP Vantage payroll processing, including projected pay, along with Essential Time and attendance. A high level of organization, excellent data entry skills, flexibility and an eagerness to learn new systems and processes are essential for the person who fills this position.

 

 ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Execute weekly and or bi-monthly payroll preparation and processing in accordance with federal, state, and local regulations and company policy
  • Complete 4-eye review and audit to ensure 100% accuracy of payroll prior to submittal
  • Maintain payroll files and documentation thoroughly and accurately, in accordance with company policy and government regulation/compliance
  • Validate all wages paid for audit purposes and ensure appropriate approvals have been received by necessary management personnel
  • When applicable, complete all wire transfer requests per company policy and procedure
  • Administer accurate garnishments, child support orders, and other payroll deductions & remittances via ADP Smart Compliance
  • Prepare and distribute periodic & on-demand reports (e.g., gross payroll, hours worked, vacation accrual, wage & tax, benefit deductions, etc.) for management
  • Compile and analyze time and attendance data and maintain all related reports and supporting documents
  • Identify potential errors through missed punch reports and proactively work with employees and their managers on corrections
  • As Tier 1 support for Payroll and Time, respond to employee and manager inquiries related to payroll and/or time keeping
  • Ensure employees are accurately capturing time for PTO, Holiday periods and other less frequent events
  • Execute the Quarterly Plant Bonus process, working closely with Operations leadership to ensure accurate and timely payment
  • Ensure overtime is calculated and paid out correctly
  • Actively participates in other payroll/time related projects as requested

 

EDUCATION, EXPERIENCE, AND QUALIFICATIONS:

  • Bachelor’s degree or equivalent experience
  • Minimum of 3 years’ experience processing multi-state payroll and timekeeping required
  • Recent experience with ADP Vantage, projected pay, and Essential Time a plus
  • Proficiency in MS Excel and working with spreadsheets
  • Strong problem-solving skills, with an analytical mindset
  • Strong attention to detail
  • Strong math aptitude
  • Ability to communicate effectively, verbally and in writing, across all levels of the organization
  • Ability to consistently and efficiently meet established deadline and follow through on problems and with other staff and employees
  • Works well in a fast-paced environment
  • Has a solid understanding of all federal and state laws regarding wages, final pay deadlines and taxation
