The Manager, Legal Operations will be responsible the financial operational end-to-end processes, systems and services related to the outside counsel management globally. This position includes other responsibilities such as monitoring financial performance, legal invoice processing, reporting, and implementing improvements.  Substantial interaction with IT, global users of the department’s matter management technology, procurement, Finance, and outside counsel law firms. 


Responsibilities:

Invoice Processing

  • Process outside counsel legal invoices. Understand direct and indirect tax implications for outside counsel legal invoices for the countries/regions that company does business
  • Respond to law firm and vendor queries regarding invoices and payments and act as primary contact for all invoicing issues with internal colleagues
  • Monitor and reconcile invoices between e-billing and SAP systems
  • Monitor and audit invoices to ensure timely processing and in accordance with Outside Counsel Billing Guidelines
  • Analyze rejections and/or deductions, resolve issues, coordinate and process revisions or adjustments


Financial Reporting and Analytics

  • Assist with internal forecasts, financial planning and potential budget risks to ensure the department meets their strategic financial targets
  • Develop outside counsel reports for the regions and business units
  • Support regularly scheduled monthly, quarterly, and annual reporting requirements
  • Develop understanding of Mondelez International’s database reporting capabilities, including an understanding of the metrics Mondelez International possesses or can develop that reflect Legal spending
  • Analyze key billing and matter data sets to perform comparative analytics and trends across functional activities and recommend process improvements to ensure efficiencies
  • Analyze and measure the law firm’s performance against budgets, staffing models, budget and staff plans, maintain metrics scorecard and develop strategies and recommendations
  • Work directly with Practice Leads and managing attorneys to better understand their spend, and continually improve reporting
  • Manage the accrual process, reconciliation and communication with the firms


Matter and Vendor Management

  • Act as the primary contact for all matter management issues with internal stakeholders, law firms and vendors
  • Oversee timekeeper management, including new timekeeper requests and approvals
  • Ensure integration, development, continued improvement of the Global Law Department’s Matter Management and electronic billing systems, and ensure compliance with the global financial and budgeting requirements
  • Manage law firm and vendor onboarding process to Mondelez International’s electronic billing and matter management system


Other

  • Coordinate and maintain the department’s Global Outside Counsel Management strategy processes and tools to share knowledge and procedures across the legal department
  • Project management, development of policies and procedures, define reporting requirements, process improvements, as well as end-user training and enhance the global team’s operational effectiveness and support


Qualifications

  • Bachelor’s Degree Preferred
  • Advanced Excel skills (i.e., Formulas, Pivot Charts, Pivot Tables, Formatting, etc.)
  • Possess deep understanding of accounting principles and ensuring compliance with legal billing guidelines
  • Previous finance or legal operations experience
  • Demonstrated leadership and project management in cross-functional projects
  • Experience with electronic billing and matter management
  • Excellent analytical skills and comfort with multiple data sets, with the ability to draw conclusions and make informed recommendations
  • Ability to present complex information in an accurate and persuasive manner to all levels of management Excellent written and verbal communications skills
  • Intellectually curious with ability to process a great deal of information in a fast paced environment willing to take initiative
  • Demonstrate integrity to manage sensitive and confidential information
  • Must have strong client service orientation and demonstrated high level of customer focus and initiative
  • Should have experience working with vendors, budgets and effectively manage a project from its initiation to delivery
  • Must be a team player who can easily handle shifting priorities, multi-tasking in a deadline oriented and collaborative environment
