Legal Specialist

This position combines an overall understanding of the day-to-day responsibilities of the attorneys and staff in a Corporate Legal Department while working with minimal supervision. The Legal Specialist understands the requirement for flexibility and accommodates shifting priorities while representing and supporting the Corporate Legal Department.


PRIMARY JOB DUTIES:

Finance and Budget:

• Management of electronic billing tool (SimpleLegal)

• Invoice approval coordination and tracking to legal budget

• May monitor legal budget and provide quarterly detailed spend analysis


Contracts:

• Manage, organize, and maintain documents in paper or electronic filing systems

• Draft and proofread correspondence and legal documents, such as pleadings and contracts


Legal Review:

• Collect, examine, and organize evidence and other legal documents for attorney review and case preparation

• Research regulations, laws, and legal articles to assist with the preparation of reports, case files, and legal advice


Corporate Entities:

• Corporate minute books – US entities

• Global entity org chart maintenance

• State reporting


Administrative:

• Supports the attorneys in coordinating day-to-day business activities

• Serves as a point-of-contact for external contacts

• Maintains calendar and schedules, screen incoming telephone calls and greets visitors

• Coordinates meeting and conference schedules

• Arranges conference calls and video conference meetings

• General organizing/filing; packaging/sending documents via UPS; ordering office supplies

• Compile Board agenda

• Compose and format documentation including letters, books, and communication to staff

• Initiate travel arrangements including obtaining visas and passports

• Composes routine correspondence as needed

• Arranges catering services for meetings, as well as, secures car services as requested

• Performs other incidental and related duties as required


JOB REQUIREMENTS:

Minimum Education:

• Bachelor’s degree or equivalent experience

Minimum Experience:

• Minimum of 2 years of in Corporate Legal Department or other legal support role; eBilling experience preferred


Knowledge, Skills & Abilities:

• Must have strong PC skills, including Word, Excel, PowerPoint and Outlook. Experience with SAP a plus

• Excellent communication skills (verbal and written)

• Ability to handle confidential information

• Ability to multitask, and be flexible, efficient, proactive, and dedicated

• Pays close attention to detail and has strong organizational skills

• Ability to work under pressure in a fast-paced global environment while interacting with all levels of employees in multiple locations (domestic and international)

• General knowledge of legal department operations, litigation, contracts, corporate entity management, etc.

Physical Requirements:

• Environment is an open cubicle environment/noise level is moderate

• Ability to sit for extensive periods of time but may also be required to stand, walk, kneel, or balance

• Operate a computer for extensive periods at a time

• Ability to lift/carry up to 10 pounds and occasionally lift/carry up to 25 pounds


Travel Requirements:

• Minimal local travel may be required for events, meetings, or conferences
