Legal Personnel Coordinator

The Talent Department of Arnold & Porter has a Legal Personnel Coordinator opening in the Washington, DC Office. The Legal Personnel Coordinator is responsible for the preparation and maintenance of Legal Personnel files for all attorneys firmwide.

 

Responsibilities include but are not limited to:

  • Supporting the annual and mid-cycle associate and staff attorney evaluation and feedback processes as well as the annual attorney promotion process.
  • Coordinating and maintaining paperwork and undertaking related data entry for new and lateral associate and staff attorney hires (e.g., arrival notices, personnel files, payroll authorization forms, etc.)
  • Preparing documentation to effectuate changes in attorney status (e.g., arrivals, departures, leaves of absence, etc.)
  • Responding promptly to requests for survey and RFP firm data.
  • Assisting in the implementation of associate bonus and compensation programs (e.g., maintaining compensation spreadsheet, working with the finance team, etc.)
  • Assisting in maintaining/auditing the bar and court admissions database and assisting with the bar admissions process as needed.
  • Tracking attorney leaves of absence, secondments, clerkships, etc., including preparation of weekly report to the Talent Department directors and managers. 
  • Assisting with the attorney departure process including scheduling departure meetings and records maintenance.
  • Liaising with and responding promptly to requests from Talent Development colleagues (including Diversity & Inclusion) on data requests and analysis for internal and external purposes.


Qualifications:   

  • Bachelor’s degree preferred; equivalent experience will be considered.
  • Administrative experience in a law firm, professional services, or corporate environment a plus.
  • Proficiency in a range of computer databases and software including Microsoft Office Suite and iManage. Experience working with viDesktop platform and Smartsheet a plus.
  • Strong interpersonal skills, sound judgment, and a professional demeanor. 
  • Ability to work well with all levels of firm personnel, establish effective working relationships throughout the firm, and handle challenging situations appropriately. 
  • Ability to maintain confidentiality is essential. 
  • Must be highly motivated, creative, flexible, adaptable to change, and results oriented.  
  • Strong problem-solving skills.
  • Ability to prioritize and manage time effectively.
  • Possess reliability, dependability, and motivation.
  • Excellent organization and communications skills, both oral and written.
  • Ability to work in a fast-paced environment while exhibiting a strong attention to detail.
  • Exceptional client service, both internal and external.
  • Flexibility to work additional hours, as necessary.
