Legal Executive Assistant

Who we’re looking for

Toyota’s Legal One Department is looking for a passionate and highly motivated Executive Assistant.


The primary responsibility of this role is to provide officer-level administrative and secretarial support for Toyota Motor North America’s (TMNA) Chief Legal Officer, Group Vice President and General Counsel (the “CLO”) with significant (including global) travel and meeting demands, as well as interaction with other executives and their assistants.


What you’ll be doing 

  • Working closely with the CLO to manage a busy schedule, anticipate the needs of the CLO, and work proactively to manage these needs.
  • Responding appropriately to Toyota Legal One (TL1) Clients (including senior executives), the TL1 Leadership Team, external business partners, and solicitation requests.
  • Managing calendars by scheduling meetings (calls, video conferences, web meetings) across multiple time zones, including internationally with Japan, Mexico, and other Toyota team members globally.
  • Arranging, or assisting with, TL1 leadership team meetings, TL1 department meetings, and other meetings.
  • Providing email support by maintaining contacts lists and monitoring invitation messages for prioritization, response, and interacting appropriately with outside influencers, TL1 outside counsel law firms, vendors, and agencies; and Toyota team members at all levels.
  • Arranging dynamic travel schedule for domestic and overseas meetings, including visa applications, and troubleshooting with travel agencies/airlines.
  • Timely/accurate preparation and submission of expense reports in multiple currencies, P-Card transactions, and work time entries.
  • Establishing excellent rapport with internal/external stakeholders; negotiating commitments to mutual benefit.
  • Creating documents and draft emails to support CLO communications, briefings, and staff meetings.


What you bring 

  • High School Diploma or GED required.
  • Proficiency in MS Office Applications.
  • Meticulous attention to detail and accuracy with the ability to produce high-quality, error-free work in a fast-paced environment.
  • Excellent interpersonal skills and telephone skills when interfacing with all levels of team members.
  • Experience coordinating logistics for meetings and conferences.
  • Demonstrated ability to operate in a high-pressure, deadline-driven environment when circumstances require.
  • Must be available to work extended hours – at times on short notice – to support the CLO/TL1. 
  • Demonstrated ability to learn the working style, preferences, and priorities of the supported executive, including anticipating needs as well as working independently with minimal direction when the executive travels.
  • Demonstrated ability to exhibit good judgment when fulfilling tasks ranging from simple to complicated and in prioritizing competing demands and requests.
  • Communicate effectively across cultures to coordinate with Japanese counterparts (in English) and other Toyota team members globally.
  • Demonstrated ability to handle multiple scheduling requests from the organization with speed and accuracy.
  • Be high-energy, self-motivated, and professional with a strong initiative for improving processes.
  • Be discreet and sensitive in dealing with matters of a confidential, sensitive, legal privileged, or private nature.
  • Have strong written and verbal communication skills.
  • Possess a broad number of years of executive administrative support experience.
  • Willingness and ability to travel up to 5% of the time.

  • Bachelor’s degree preferred but not required.
  • Experience in a legal environment.
