Legal Assistant

Houston, TX

Chevron is accepting online applications for the position through [09, 07, 2022] at 12:00a.m. ([Central Time]).  


This position works with other Legal Administrative Assistants to support twelve Chevron lawyers, who manage Chevron Upstream North America Litigation.  The individual will report to the Supervisor of Legal Analysts and Legal Assistants, Houston.


This position requires an individual who is proactive, self-motivated, has a positive, can-do attitude, and strong interpersonal skills. This position requires excellent problem-solving skills, demonstrates ability to multitask, manages a high volume of work and works well independently as well as in a team environment. This position also requires a high level of initiative, accuracy, and attention to detail. The position works closely with other Chevron law groups inside and outside the U.S. and external legal organizations.


Responsibilities for this position may include but are not limited to:

  • Provides primary legal and administrative support to Litigation Attorneys, as well as Legal Analysts working with them, while maintaining a high level of confidentiality surrounding sensitive information and data.
  • Generates reports, drafts, formats, and revises legal documents, presentations, reports and other communications as needed, using various software and applications, such as MS Office (Word, Excel, PowerPoint, Outlook, Teams) and TeamConnect and Power BI.
  • Opens, updates and closes matters within legal software system (TeamConnect).
  • Manages and processes settlement requests and coordinates invoice handling with Law Finance and sets up third-party vendors in internal vendor system.
  • Makes travel arrangements for both domestic and international travel. Assists with any travel related visa/immigration document preparation.
  • Tracks and gathers related expenses and compiles expense reports in expense reporting system (CTREX). Manages purchasing card charges and reconciles monthly statements.
  • Organizes and coordinates meeting logistics as needed, including catering, scheduling meeting rooms, arranging Teams conference calls, connecting video conferences, facilitating meetings, and e-mailing meeting notices, agendas and other key information.
  • Communicates effectively and coordinates activities and business needs with other groups and locations to provide superior support to attorneys and the Law Function.
  • Reviews work product to ensure it is of high quality and meets department standards.
  • Follows through on all requests to ensure deadlines are met and work meets expectations.
  • Scans and loads documents into legal software system as needed to maintain complete files and records.
  • Assists with other duties and special projects, as assigned by Attorneys, their supervisor and other team members.
  • Provides backup legal and administrative support to additional members of Litigation and other law groups, as needed, in times of heavy demands and/or absence of other team members.


Required Qualifications:

  • High School diploma or equivalent.
  • 5+ years Administrative Assistant experience.
  • Ability to set priorities, be flexible in adapting to assignment changes and remain calm under pressure, with the capability to oversee multiple tasks simultaneously.
  • Strong collaboration and people skills with the ability to work with a diverse workforce.
  • Ability to problem solve, use good judgment in handling job responsibilities and assignments, and prioritize and meet deadlines.
  • Has the ability to maintain a high level of confidentiality and adapt to changing needs and
  • deadlines.
  • Self-motivated, takes initiative, learns quickly, anticipates the needs of the attorneys and is a team player.
  • Strong communication skills, with the ability to communicate clearly, concisely and effectively (written and oral) with all levels of the organization.
  • Ability to multi-task, anticipate needs and requirements, and follow through on commitments and meet deadlines timely.
  • Solid organizational skills and attention to detail.
  • Proficiency in SharePoint and MS office applications: (Word, Excel, PowerPoint, Outlook, Teams).
  • Maintains tactful and professional demeanor in all situations with all levels at Chevron and outside organizations.


Preferred Qualifications:

  • Associates or Bachelor's degree.
  • Experience supporting litigation attorneys.
  • Experience working with TeamConnect or other matter management applications, e-billing, and setting up vendors in payment system.
  • General knowledge of the oil and gas industry.
  • Notary.


Relocation Options:

Relocation will not be considered within Chevron parameters.


International Considerations:

Expatriate assignments will not be considered.
