Legal Administrative Assistant

Dallas, TX

The Legal Administrative Assistant will be an integral member of the Legal Department, supporting the Corporate & Transactions team by providing administrative and project-specific support to facilitate efficient day-to-day operations..


BASIC QUALIFICATIONS:

High School Diploma, GED or equivalent education required.

Must be at least 18 years of age.

Must have authorization to work in the United States as defined by the Immigration Reform Act of 1986.


EDUCATION: 

  • Required - High School Diploma or GED.
  • Bachelor’s degree preferred.


WORK EXPERIENCE: 

  • Prior legal administrative or paralegal experience strongly preferred.
  • Working knowledge of filing systems and data management systems.
  • Understanding of basic legal terminology.


RESPONSIBILITIES:   

  • Preparation of documents in Word, Excel, and Power Point, including drafting, formatting, and revising correspondence, contracts, and complex agreements.
  • Use of Microsoft Word track changes, Workshare Compare, and Adobe Professional to edit, revise, and prepare redline documents.
  • Assistance with travel arrangements, expense reports, and processing of invoices.
  • Assistance with meeting scheduling and meals.
  • Performance of research and organization of data.
  • Coordination of execution and distribution of documents.
  • Assistance with document proofing for proper formatting, spelling, grammar, and accuracy.
  • Assistance with preparation and filing of SEC documents.
  • Monitoring and ordering of office supplies and assistance with equipment needs (e.g., related to computers, phones, copiers).
  • Assistance with faxing, copying, scanning, filing, overnight delivery, etc.
  • Assistance with coordinating department and group activities.
  • Assistance with organizing and filing documents, both paper and electronic
  • Assistance with tracking outside counsel costs within the legal matter management system.
  • Performance of other job duties as directed by Employee's Leaders.

 

SKILLS/ABILITIES/KNOWLEDGE/WORK STYLE:

  • Must have excellent organizational skills and be able to manage high volumes of tasks and a wide variety projects with little guidance.
  • Must have strong written and oral communication skills.
  • Must have the ability to effectively communicate and interact with all levels of external and internal Customers, including executives and Board members.
  • Must have advanced computer skills. Proficiency with Microsoft Office (e.g., Word, Outlook, Excel, and Power Point) required. Proficiency with Microsoft Teams, SharePoint, Team Connect, and iManage a plus.
  • Must have comfort learning new programs and software.
  • Must work well in a team environment and provide outstanding Customer Service internally and externally.
  • Must be able to adhere to high confidentiality expectations.


Must be able to comply with Company attendance standards as described in established guidelines.


OTHER QUALIFICATIONS:

Must maintain a well-groomed appearance per Company appearance standards as described in established guidelines.
