Snowflake is looking for an experienced, strategic self-starter to join our Executive Operations team in the Product Organization. In this role you’ll be partnering closely with our SVP of Product to operationalize and execute all administrative functions. You’ll be a key piece of the leadership team, using your expertise in a fast pace and growing environment to create structure out of chaos and help the SVP of Product effectively scale the business. You’ll initiate, own and implement systems and processes that increase efficiency as well as small to large scale projects. You have strong interpersonal skills and leverage business relationships to get things done efficiently and cross functionally. You also have communication skills needed to interact with a variety of people and job functions including customers, partners and vendors as well as internal communications that regularly reach a growing org of 1000+, keeping the org both streamlined and organized.

 

RESPONSIBILITIES:

  • Perform an array of core administrative tasks:
  • Effectively manage and maintain complex calendars for the SVP of Product, effectively prioritizing a high-volume of asks from multiple stakeholders. 
  • Ensure SVP is briefed and prepared for all meetings.
  • Manage team budget, travel and expenses; process all expenses and reimbursements; manage invoices and Purchase Orders. 
  • Create, organize and maintain team mailing lists, folders, drives so that information is an easily-accessible and well-organized resource.
  • Build efficiency into existing operations, and help define new operational strategies, such as streamlining new hire onboarding or establishing a review process in a brand new site. Present plans at leadership meetings and org-wide All Hands. 
  • Organize All Hands, live presentations, customer meetings and events onsite in San Mateo. Comfortable putting together talking points, taking notes and partnering with press, analysts, and sales teams as needed. 
  • Clearly communicate with your team, org and company through transparent and clear comms that keep teams both informed and aligned, such as note taking in weekly staff meetings, tracking action items, weekly newsletters, and All Hands. 
  • Serve as a lead for, and manager of site-based programs and projects such as headcount management and space management. 
  • Need to be available to work from San Mateo HQ a minimum of 3 days/week. 

 

SKILLS & EXPERIENCE:

  • Bachelor’s degree and 10+ years of work experience and 4+ years of experience in administration or direct executive support (Senior Director or above), program / project management or chief of staff. 
  • Proven ability to manage time efficiently and prioritize multiple stakeholders, functions and tasks in an extremely fast-paced environment with a large volume of requests. 
  • Experience identifying gaps and implementing systems, processes, or programs that address them. 
  • Extreme attention to detail, organized and responsive. 
  • Very strong interpersonal skills. 
  • Very strong verbal and written communication skills. 
  • Experience working with all levels of management, employees, vendors and customers.
