Executive Assistant to the CEO

SoulCycle ​​is seeking an Executive Assistant to support our CEO based out of our New York City office. As an Executive Assistant, your day will consist of managing and prioritizing a steady stream of requests, meetings, and trips. The ideal candidate will work closely with the SoulCycle’s Management Team as well as the Equinox Management Team to align schedules, follow-ups and other matters related to ensure leaders are available to make business decisions in a timely and efficient manner. 


The right candidate will be able to balance the needs and requirements of the CEO as well as other stakeholders and be ready to pitch-in wherever necessary. You should feel comfortable interacting with senior executives as well the CEO’s Chief of Staff to coordinate meetings and other business activities. You should be comfortable working in a fast-paced environment with quickly changing priorities while being calm, efficient and highly organized.


We are looking to speak to candidates who are based in the New York City area and willing to work in office.


Responsibilities

  • Manage the CEO’s calendar to coordinate all meetings and calls, including video conferencing and large team events
  • Manage multiple requests and priorities – exercising sound judgment, and seeing beyond the day-to-day to anticipate changing needs while staying calm under pressure
  • Build relationships with key stakeholders in CEO’s internal and external network; represent the CEO in a professional manner
  • Schedule, plan, and execute logistics for quarterly board meeting 
  • Approve global corporate scheduling (i.e., company conferences, quarterly business reviews, etc)
  • Manage all travel logistics and associated expenses, and be ready to handle last-minute changes
  • Responsible for all domestic and international travel arrangements, including flights, ground transportation, hotels, visa coordination, etc. that adhere to our company travel policy
  • Understand the CEO's personal travel preferences and learn her travel playbook
  • Works closely with PR to coordinate TV appearances and press engagements
  • Create and review correspondence, spreadsheets, slide decks, and meeting agendas
  • Track action items and key issues to closure with a high degree of integrity and accountability
  • Assist with special assignments/projects, as needed – may include preparation of correspondence, reports, presentations, etc.


Requirements

  • 6+ years experience supporting C-level executives, or other relevant experience working directly with executives and/or senior management
  • Bachelor's Degree or equivalent work experience is preferred
  • Must be able to work a hybrid schedule in our NYC HQ
  • Strong professionalism, confidentiality, time management, communication, customer service, and organization skills
  • Work in a team environment and maintain relationships across the organization in order to exchange meeting-related information and prioritize assignments relating to the CEO’s activities
  • Excellent verbal and written communication skills
  • Proficiency with Google Apps (Gmail, Google Docs, Google Calendar), Microsoft Office, and video conferencing tools
  • Creative, flexible, and innovative team player
  • Able to handle highly sensitive and confidential material
  • Take feedback well, but also able to work autonomously with little direction and make decisions as needed
  • Experience booking both domestic and international travel
  • Awareness and comfort operating across multiple time zones
