Executive Assistant, Global Communications

Blizzard is looking for a proactive, motivated, and highly organized professional to function as an Administrative Assistant on the Global Communications team!


Location fixed:

This role is anticipated to be a hybrid work position, with some work on-site and some work-from-home. The potential home studio for this role is Irvine, California.


Responsibilities

  • Manage multiple busy calendars and balance them appropriately. Run general team calendar including holidays and outages.
  • Plan and organize meetings, team events, off-site summits, telephone, and video calls across multiple time zones with an emphasis on details.
  • Support major PR events and BlizzCon with interview and meeting scheduling, recording online interviews, food orders, business card orders, and on-site executive lounge support.
  • Efficiently schedule interviews and media training sessions for PR team members and spokespeople.
  • Work closely with Senior Executive Assistants across the Activision/Blizzard/King enterprise to optimize Communications relationships and commitments to company-wide initiatives.
  • Work with vendors and employees to facilitate legal contracting, NDAs, payments, purchase orders, and other necessary paperwork.
  • Plan and schedule photo-shoot sessions for spokesperson headshots.
  • Lead vendors for team swag and giveaway orders. Coordinate and manage customs for foreign imports/exports of said PR giveaways.
  • Develop complex presentations using PowerPoint, Photoshop, and Adobe Premiere with material sourced from multiple partners.
  • Participate in Global PR Inbox Monitoring & Escalation task force with PR coordinators.
  • Make international and domestic travel arrangements, including passport & visa procurement, often with minimal notice.
  • Coordinate logistics for tradeshows, conventions, and one-off business meetings.
  • Prepare written communications to internal and external contacts with an emphasis on context and confidentiality.
  • Compilation and distribution of team reports and meeting minutes.
  • Maintain company-wide distribution lists.
  • Work with IT and HR to obtain access to internal communications platforms and channels for various company spokespeople, and to assist with communications team employee onboarding.
  • General administrative duties, including screening and answering calls, reconciling expense reports and budgets, filing and document management on team Sharepoint, correspondence, management of staff timesheets including time-off requests, coordinate with facilities team for on-site requests, office moves, new hires, etc.
  • Pick up supplies and/or deliveries from the shipping department, vendors or stores, and deliver/set up at events, meetings and team areas.
  • Handle other duties as needed.


Minimum Requirements

  • Bachelor’s degree or 4+ years of equivalent experience
  • 6+ years’ experience in an Administrative role or Executive Assistant role
  • 6+ years’ of executive-level experience working with Microsoft Office applications: Word, Excel, PowerPoint, and Outlook
  • 6+ years’ of excellent written and verbal communication skills
  • 6+ years’ of experience supporting a higher level of communication with managers, team leads, and stakeholders
  • 6+ years’ of organizational and time-management abilities
  • Must be able to employ critical thinking for the team.
  • Self-starting personality with the ability to handle multiple projects simultaneously.
  • Proactive attitude with a willingness to ask questions and improve processes
  • Ability to function efficiently with minimal direction
  • Exceptional attention to detail as well as the ability to see the big picture
  • Ability to act with discretion when handling confidential matters
  • Possess a strong dedication to quality

In the U.S., the standard base pay range for this role is $24.04 - $44.47 Hourly. This base pay range is for the U.S. and is not applicable to locations outside of the U.S. Actual amounts will vary depending on experience, performance and location. In addition to a competitive base pay, employees in this role may be eligible for incentive compensation. Incentive compensation is not guaranteed.
