Executive Administrative Assistant

The Executive Administrative Assistant is responsible for providing administrative services and support to the Chief Global Impact Officer, the Global Impact team, and supporting the broader team and executives as needed. This individual will be responsible for administrative functions, including scheduling and calendar management, project support, travel and meeting arrangements, and budget tracking and contracting. S/he will work to ensure the effectiveness of the Chief Global Impact Officer and her team and function, and ensure excellent interactions with other departments and leaders throughout the company.


ESSENTIAL FUNCTIONS

The responsibilities of this job include, but are not limited to, the following:

  • Calendar management, meeting arrangements, travel arrangements and support.
  • Budget tracking and management, invoice processing and contract management, including administration of contract management system (iCertis); research billing and expense discrepancies.
  • Support and management of invoicing for third party vendors (SAP), including engaging with vendors as needed to ensure timely and accurate invoicing.
  • Support the development of documents including presentations in PowerPoint, Word and other written documentation/communication; ensure quality control/proofreading/editing.
  • Contribute to smooth functioning of the executive office suite by helping manage office equipment, including preventive maintenance requirements; following manufacturer's instructions; troubleshooting malfunctions; calling for repairs; maintaining equipment inventories; evaluating new equipment and processes.
  • Contribute to the team by supporting and partnering with other administrative assistants and executives as needed.
  • Other duties as assigned.

MINIMUM QUALIFICATIONS

  • Education: Bachelor’s Degree or equivalent combination of education and
  • 2-5 years of experience in professional administrative role.
  • Computer Skills: MS Office suite, Service Now, email, Sharepoint
  • SAP, iCertis and Visio preferred
