Executive Admin Specialist

New York, NY

Wells Fargo is seeking an Executive Admin Specialist that will be working closely with the head of a particular Line of Business within Wells Fargo. the Executive Admin Specialist will be responsible for managing the executives calendar, managing meetings, responding to communications, sending out announcements, managing approvals for Admin AU and assisting with travel planning.


In this role, you will:

  • Perform various complex and confidential administrative tasks for executives
  • Identify opportunities for improving or implementing processes and tools within executive business management functional group
  • Review moderately complex escalated customer issues or initiatives that require planning, evaluation, and interpretation directed to executives
  • Independently resolve work and provide day to day work leadership and mentorship to team
  • Lead team on implementation of new or revised processes and procedures and customer satisfaction that require coordination among various teams
  • Collaborate and consult with peers, colleagues and more experienced managers to resolve issues and achieve goals
  • Interact with shareholders, regulatory agents, media, and internal and external customers
  • Receive direction from leaders and exercise independent judgment while developing the knowledge to understand function, policies, procedures, and compliance requirements


Required Qualifications, US:

  • 4+ years of Executive Administration experience, or equivalent demonstrated through one or a combination of the following: work experience, training, military experience, education
  • 2+ years of MS Outlook support experience, including handling scheduling or booking issues
  • 1+ year of procurement and supply chain management experience


Desired Qualifications:

  • Ability to manage changing travel itineraries, accurately manage expense reimbursement, manage a busy calendar and appointments
  • Experience with communication planning and execution
  • Experience reviewing and preparing expense reports for leaders
