Events and Office Management Lead

As the Events and Office Management Lead for our San Mateo office at Upstart, you will be responsible for bringing the Upstart Digital First strategy to life in our California headquarters. Most importantly, you will manage a team dedicated to excellent execution of the day to day operations of our San Mateo Office. This includes the end to end experience for employees working on site (from desk assignments to snacks to the decor and design of the physical office space), to the management of guests and onsite vendors, to the thoughtful execution of evolving COVID related protocols. In addition to this work, you and your team will also be responsible for developing programs and processes to support the frequent team offsite events that will take place in and around our office on a weekly basis. The success of our Digital First strategy relies on scalable solutions that make securing space, and facilitating collaborative and easy working experiences straightforward and efficient for our team leaders. You will be instrumental in building the foundation that makes this new way of working a smashing success!


  • Position Location - This role is available in the following locations: San Mateo, CA
  • Time Zone Requirements - This team operates on the West Coast time zone.
  • Travel Requirements - Once or twice per year you may be asked to travel to our Columbus and/or Austin offices for an Office Management team offsite. Upstart will cover all travel expenses.

 

How you’ll make an impact:

  • Manage a team responsible for the day to day operations of the San Mateo office including daily catering, vendor management, mail, COVID protocols, office reception, seat assignments, guest accommodations and anything else that may come up related to a fantastic experience for all in our office space.
  • Partner closely with building management to oversee facility operations and compliance - including regular cadence of safety exercises, oversight of facilities staff, implementation of building protocol and change management etc. 
  • Lead office space “build outs” - gather the different vendors (designers, construction teams, security, building management, project managers) to execute on any office expansion or augmentation as requested. Lead executive sponsor updates and keep dots connected across all internal and external teams.
  • Build and own the process for securing space, catering, and special activities for off site events hosted by different Upstart team leads.
  • Partner with our IT, Executive Administration, and People Ops teams to manage the administration of employee onboarding, special employee gifts and events.


What we’re looking for: 

Minimum requirements:

  • Bachelor’s degree or equivalent practical experience
  • 4 years of experience working in Office Management or a related administrative or operations leadership role with demonstrated progression of responsibilities 
  • Experience working in a dynamic, fast paced environment


Preferred qualifications:

  • People management experience
  • Events management experience
  • Experience building scalable solutions from scratch
  • Excellent project management skills and the ability to succeed in a fast paced environment
  • Exceptional communication and collaboration skills
  • Ability to influence others when necessary and offer alternative, constructive suggestions in order to lead change
