The Group Operations Communications Specialist plays a pivotal role in crafting, managing, and executing a wide range of communications for the Group Operations team and the Group Operations Officer (GOO).
This role encompasses the development and distribution of strategic, operational, and culture-focused communications, as well as supporting high-profile external events and announcements.
The ideal candidate will be skilled in both internal and external messaging, with a keen eye for detail and a strong understanding of communication tools and processes.
Key Responsibilities:
Internal Communications:
- Content Development: Create and distribute strategic, culture-focused, and operational communications tailored for an audience of approximately 7,000 employees. Ensure messages align with organizational goals and maintain engagement.
- HR Support: Collaborate with the Group Operations HR team to support the distribution of HR-related communications.
- PoliteMail Management: Oversee the PoliteMail email tracking system on Outlook to monitor engagement and effectiveness of communications.
- Distribution Lists: Manage the creation and maintenance of distribution lists to ensure accurate and effective message delivery.
- Communication Schedule: Maintain and update a structured communication schedule to ensure timely and coordinated dissemination of information.
- PowerPoint Support: Assist with the creation of PowerPoint charts and presentations as needed, ensuring they are polished and aligned with communication goals.
External Communications:
- Scriptwriting: Develop and write scripts for the Group Operations Officer for key external events, ensuring clarity, impact, and alignment with strategic objectives.
- Social Media Collaboration: Partner with external agency to support the creation of engaging social media content for the Group Operations Officer, enhancing their public presence.
- Executive Bio Maintenance: Regularly update and maintain the Group Operations Officer’s executive biography to reflect current achievements and roles.
- As Needed – Event Support: Attend external events as needed to provide on-site support and ensure successful representation of the Group Operations team.
- As Needed – Partnership / Investor Communications: Develop tailored communications for investors and strategic partners, ensuring alignment with company objectives and addressing their specific interests and concerns effectively.
Required Qualifications:
- 3+ years in communications
Preferred Qualifications:
- Experience: Proven experience in communications with a robust understanding of both internal and external messaging strategies.
- Writing Skills: Exceptional writing skills, with the ability to translate complex technical topics such as AI, Global Supply Chain, and Operations into clear and engaging content.
- Technical Proficiency: Proficient in Microsoft Office Suite, including Word, Excel, and PowerPoint. Familiarity with email tracking systems and SharePoint is a plus.
- Organizational Skills: Strong organizational skills with meticulous attention to detail, ensuring accuracy and consistency across all communications.
- Adaptability: Ability to manage multiple projects simultaneously and adapt to changing priorities in a fast-paced environment.
