Assistant to CEO

Costa Mesa, CA

We are a premium cannabis company looking for an Assistant, Office of the CEO, to join our team. Friendly working environment with great amenities. Responsibilities include assisting the executive administrative staff and directly supporting the CEO to help improve on productivity. Will also be responsible for running personal and business errands for both the CEO and Administrative team. The ideal candidate for this position is a self-starter who can work well in a fast-paced environment. Responsibilities include undertaking a variety of administrative and clerical tasks. The goal is to sustain efficiency of all office, administration, and procedures to guarantee reliability and consistency for the company.   • Organize and schedule CEO’s meetings and appointments
  • Keep list of outstanding to-do items (including emails that need to be responded to), follow up with CEO daily on these items, and provide updates on items assigned to you
  • Run personal errands for both the CEO and Administrative team
  • Run business errands for both the CEO and Administrative team
  • Source office and personal supplies for CEO
  • Occasional dry-cleaning drop-off and pick-up
  • Prepare conference rooms for sales presentations and staff meetings lead by CEO
  • Overall upkeep and filing of the CEO office
  • Purchase and send gifts for key relationships
  • Prepare materials, packets, and presentations for CEO
  • Provide administrative and direct support to Executive Assistant and CEO
  • Calendar important deadlines
  • File, organize, scan, copy, and fax documents. Develop digital and live records system. Maintain organization at all times.
  • Facilitate the meeting of deadlines by keeping multiple agendas and providing timely reminders. Follow up with organizers of meetings to ensure agendas are received ahead of time
  • Manage the CEO’s schedule, travel, meetings, etc.
  • Prepare accounting ledgers for purchases and cash spend
  • Manage and update multiple inventory sheets for the office and CEO’s house
  • Help keep CEO’s office, house, and business rooms organized
  • Other duties as assigned



  • Must be 21 years of age or older. No exceptions.
  • Must possess a current California Class C Driver’s License with a clean driving record. No exceptions.
  • Must have own vehicle
  • Bachelor’s degree preferred
  • Proven work experience as a personal assistant required
  • Willingness to work weekends as required
  • Strong sense of responsibility and ability to complete tasks quickly and with minimal supervision
  • Impeccable written and oral communication skills
  • Proficiency with MS Office
  • Outstanding time management, multitasking and typing skills
  • Ability to communicate effectively with CEO
  • Ability to respond to questions and seek clarification as needed
  • Ability to multitask and be comfortable dealing with a diverse pool of people
  • Maintain a high level of confidentiality and discretion at all times. Absolutely no behavior associated with gossiping.

  • Ability to source vendors (quickly, same day) and arrange services
  • Ability to handle large and fast-paced workload
  • Ability to take initiative and find areas where assistance is needed to project CEO’s future needs
  • Maintain professional appearance, grooming, and attire at all times as personal assistant to the CEO
  • Must be willing to take a writing exam and personality exam.
