Administrative Coordinator

Gillette, WY

The Administrative Coordinator position is an entry level role focused on supporting a project in office support functions, such as payroll, assisting with accounts payable, document management, office clerical/support services, printing, mail distribution, greeting visitors, answering phones along with other assigned tasks. Each project at Kiewit is run like a small business, and the Administrative Coordinator will support the growing demands at Buckskin Mine operations

RESPONSIBILITIES

  • Performs weekly payroll verification
  • Understands the payroll and HR process workflows
  • Masters the systems used to properly hire, transfer, terminate, and pay all employees
  • Performs basic clerical functions such as filing, copying, and data entry
  • Manage assigned workflows to ensure timely processing of vendor invoices
  • Process a high volume of invoices with accuracy
  • Perform three-way-match reconciliation of purchase order to goods receipt to invoice
  • Collaborating with and supporting team members, working on key projects and initiatives
  • Provide clerical and administrative support for HR Manager and/or other Department Managers
  • Prepare outgoing mail and correspondence, including e-mails and faxes.
  • Assist in managing open-shop craft requisition and support recruiting efforts
  • Assist in conducting weekly orientations to lead effective on-boarding process, including paperwork, applications, documentation and maintaining employment files

 

QUALIFICATIONS

  • Monday thru Friday 7:00 am to 3:30 pm, half hour unpaid lunch
  • High school diploma and at least two (2) + years applicable experience focused administrative or clerk role
  • Outstanding attention to detail and strong organizational skills
  • Working knowledge of computers and experience in the use of Microsoft Outlook, Word, Excel, PowerPoint, Visio, and SharePoint.
  • Excellent analytical, math and organization skills
  • Excellent organization and time management skills; ability to develop specific goals and plans to prioritize, organize, and accomplish assigned work
  • Attention to detail with ability to recognize discrepancies; ability to spot and anticipate problems and seek solutions
  • Must be a positive, pro-active, dedicated team participant with the ability to maintain strict confidentiality.
  • Ability to be flexible and adapt to new processes and procedures to ensure efficiency and excellence in Payroll Processing
  • Ability to work with a high degree of accuracy with minimal supervision in a high-volume environment
  • Ability to understand both functional and end-to-end processes and controls
  • Critical thinking and critical thinking skills; ability to use logic and reasoning to analyze and identify the strengths and weaknesses of alternative solutions, conclusions, or approaches to problems
