Administrative Assistant

Plattsburgh, NY

WHAT WILL YOU DO:

  • Complete team member requests timely and according to policies, redirects if necessary (e.g., support for professional expenses, on-site access, visitors)
  • Handle Personnel Administration: recordings and project specific tasks (mandatory training acknowledgements, visitor policies)
  • Manage phone system (calls, transfers, phone system, phone list)
  • Validate and code invoices through the Open Text System
  • Create and distribute Kanban cards and drawings to production
  • Reconcile packing slips to purchase orders or filing
  • Verify invoices to purchase orders for accuracy
  • Organize meetings (planning and coordination) with respect to organizational deadlines: keep time and book meeting rooms, send invitations to participants, forward agenda
  • Maintain badge system for active employees, new hires, and vendors
  • Help facilitate new hire onboarding


WHAT YOU WILL BRING:

  • Microsoft Excel, Word, and PowerPoint skills preferred.
  • Planning and coordination skills, strong organizational skills, and professional ethics
  • Prioritization skills and attention to detail in a fast-paced environment.
  • Strong verbal and written communication skills
  • Effective communication and collaboration with peers, management, employees, customers, and vendors
  • Self-motivated; takes initiative and works with minimum supervision
  • Works harmoniously with others to solve problems and willingness to help others when needed
  • SAP Knowledge preferred, not required
