Administrative Assistant

Mississauga, ON

The Administrative Assistant is accountable to the Office Manager / Human Resources Business Partner for all activities relating to administration. The majority of the work performed is considered to be non-GMP. This position requires prior experience in a related administrative role. University or College degree/diploma is preferred.


Duties & Responsibilities:

  • Provide direct support to the Office Manager/Human Resource Business Partner in all aspects of administration
  • Provide general office administration support for multiple sites and departments as required
  • Reception duties including: managing phone system, mail/couriers and distribution of interoffice mail, greeting visitors and ensuring adherence to visitor policy requirements
  • Responsible for generating orders for office and canteen supplies as well as coats for laboratory staff
  • Manage requirements for all printed stationary and business cards
  • Work with various vendors and suppliers for service and equipment as needed
  • Support internal Finance team and collaborate with National Support Centre (NSC) on invoice/billing requirements
  • Manage the creation of purchase orders and receiving of invoices in COUPA; duties include coding invoices and obtaining approvals for payment/processing as well as troubleshooting billing issues
  • Timesheet collection and data entry processing
  • Additional duties as required


Qualifications

  • Education: university or college degree/diploma preferred in Administration or related field
  • Must have proven experience in office administration and invoicing (system knowledge of COUPA an asset)
  • Must be proficient in Excel as well as other Office applications
  • Must have strong written and oral communication skills required
  • Must be able to work independently in a fast past environment
  • Access to a vehicle is required to service multiple sites
  • Experience in a GMP environment an asset but not required
