As an Administrative Assistant, you will perform diverse and confidential administrative support functions. These functions will include composing, signing and releasing correspondence.


This role usually relieves management of administrative details; collects, compiles and reports information relevant to/for department; may lead a number conflicting objectives, projects or activities at one time. In this role, you will communicate with executives, line management and a team of administrative assistants to collect or convey relevant information.


You may also be involved in client contact and exposure to sensitive information, and use tact, diplomacy and judgment. Works closely with the Org COO/Business Support Manager to ensure that the executive and team are being fully supported. Knowledge of general bank systems (e.g., Concur and Corporate Travel), expense policies, ARM, SharePoint, MS Office Products, Tableau, WebEx, GEP SMART, MyFacilities, visitor access system, Workday, etc.


Required Skills:

  • Previous Administrative Assistant experience
  • Administrative support including managing and coordination of daily schedule for a critical GIS executive
  • Understanding of managing executive calendar and prioritizing activities, ideally with prior experience in communicating with other executives and their support staff
  • Ability to work independently, multi–task, and manage time wisely
  • Handle confidential and sensitive material with the highest degree of integrity
  • Strong executive presence; excellent interpersonal communications skills
  • Ability to handle multiple tasks in a dynamic environment
  • Proficient with MS Office Products (Outlook, Word, Excel, PowerPoint)
  • Strong proofreading skills for any and all types of communications
  • Accuracy/quality control – demonstrate accuracy & thoroughness and monitor work to ensure quality
  • Excellent relationship, team building and facilitation skills with the ability to drive collaboration across diverse groups
  • Excellent attention to detail and organizational skills
  • Enthusiastic, patient, and positive attitude with ability to maximize time efficiently


This job is responsible for providing diverse and confidential administrative support, including extensive calendar management. Key responsibilities include supporting management with administrative tasks, coordinating travel arrangements, processing expenses, gathering and reporting information relevant to/for the executive, and responding to incoming mail. Job expectations may include assisting with organizing in-person meetings and off-sites and managing different and conflicting objectives, projects, or activities in a responsive and personable manner.
