Administrative Assistant
We are pleased to announce the relocation of our corporate headquarters to Greenway Plaza’s Phoenix Tower in Houston’s Upper Kirby neighborhood.
The Administrative Assistant will provide general support to the Legal Department by assisting with tasks, assignments and projects. The ideal candidate will possess exceptional organizational skills and attention to detail, while demonstrating exemplary customer service to both the Legal Department and its internal clients.
Essential Duties and Responsibilities
- Provide general administrative support, such as copying, filing scanning, and creating files.
- Upload and manage documents in SharePoint, ensuring proper organization and access. Maintain and manage the Legal Department’s SharePoint site.
- Assist with receipt of invoices and payment requests.
- Assist and familiarize with inputting, tracking, and reporting in Legal Tracker.
- Conduct Internet research and prepare corresponding reports as needed.
- Assist in preparation of materials for meetings, presentations and trainings.
- Sort, scan, and distribute department mail.
- Draft, proofread, and revise correspondence and legal documents.
- Coordinate and assist with planning Legal Department events, socials, and outings. Maintain department calendars and coordinate scheduling as needed. Support the Legal Department with ad-hoc projects and assignments. Uphold a high standard of professionalism and decorum in all interactions.

Qualifications
- High school diploma or equivalent required.
- Relevant administrative support experience required.
- Excellent verbal and written communication skills.
- Demonstrated computer skills including a working knowledge of MS Office products, including Outlook, Excel, Word, and PowerPoint. Excellent Word and Excel skills strongly preferred.
- Experience with Microsoft Dynamics 365 a plus.
- Strong attention to detail and commitment to accuracy.
- Proven ability to manage multiple priorities in a fast-paced environment.
