Administrative Assistant

Bloomington, MN

This position is responsible to work closely with General Counsel, Senior Legal Counsel, Senior Director of Contracts for GED Testing Service and others within Pearson VUE and greater Legal Department. The position is responsible to provide support to mostly internal and some external customers, vendors, and other third parties. This position plays an essential role to the successful execution of the Legal Department. The ideal candidate will have 6mths - 5 years previous experience as an administrative assistant, paralegal, or contracts administrator.


The Contracts Administrative Representative/Paralegal is responsible for:

  1. Organizing and maintaining signed agreements, associated forms and legal documents, and existing agreements with customers, service providers, and consultants.
  2. Knowing or being trained to negotiate consulting, vendor, NDAs, and other agreements.
  3. Reviewing and responding to BBB filings, Office of Foreign Asset Control and SDN checks for international agreements.
  4. Managing department meetings for the legal team.
  5. Knowing or learning to create or modify PowerPoint presentations.
  6. Knowing or learning how to read educational and business agreements, issue identification, compliance issues, contract proofreading, and management of the contract workflows.
  7. Additional legal projects as assigned.
  8. Working with the internal GED Testing Service business teams to review any changes to contract templates made by other entities and seek guidance and approval for these requested changes by the appropriate attorney. .
  9. Working on internal social media and marketing projects as assigned.


Qualifications - External Education and Experience:

  • Experience or learning of legal issue spotting and negotiation.
  • Interest in working with a global legal team.
  • Experience with internet research techniques, social media, and marketing a plus.
  • Experience in contract administration (issue spotting, contract management, legal support, and contract preparation) also a plus
  • A Paralegal Certificate or Associate Degree in paralegal studies or in a related area with paralegal experience a plus

  • Exceptional interpersonal and communication skills
  • Strong work ethic, attention to detail, sound judgment and discretion
  • Strong organizational and time management skills
  • Must be able to work independently
  • Proficient with Microsoft word, PowerPoint, Microsoft Outlook, and other document management applications
  • Ability to work effectively with other departments, to manage multiple projects simultaneously, and meet deadlines with consistent high-quality work in a fast-paced environment.
  • Must be a team player, self-motivated, collaborative, and energetic
  • Understanding or learning of the contract/legal process (scope of agreements; negotiations with clients, implications, use and interaction of various forms and templates; principles of risk and legal compliance)
  • Note this position does have remote working flexibility
