Administrative Assistant

Seagate Technology is seeking an Executive Administrative Assistant to support members of the Legal and Government Relations team and the Senior Manager of Legal Operations. This includes Vice President support and Minnesota site support. 

 

The work is often of a confidential nature. The ability to strike a balance between supporting daily needs of members of the legal team and anticipating and quickly resolving problems with a high degree of initiative is essential.


About the role - you will:

  • Manage the Vice President of Legal, Compliance, and Government Relations’ daily schedule, including calendar, travel and expense reports
  • Assist the Legal and GR team members with daily support, including calendar, travel and expense reports
  • Coordinate meetings with Business Partners and among internal team members for the Legal and GR organization, including scheduling, sending reminders, and organizing catering when necessary
  • Welcome visitors and identify the purpose of their visit before directing them to the appropriate parties within the Legal and GR organization
  • Assist the Legal, GR and GTS organizations billing processes including using SimpleLegal and other billing software, handling account payable for law firms and other service providers and vendors, researching and resolving issues and discrepancies
  • Assist with the monthly accrual process
  • Assist with onboarding of new law firms and vendors
  • Assist Legal, GR and GTS professionals with the onboarding of new employees
  • Assist with the contract and document signature process, including through automated tools such as DocuSign, and provide notarization and apostille services
  • Provide rapid triage and referral of matters to appropriate parties across the Legal and GR organization for action and follow up to ensure proper disposition
  • Work with spreadsheet, database, presentation (including PowerPoint) and word processing software packages in preparation of requested documents
  • Build productive and collegial working relationships internally and externally
  • Proactively determine methods and procedures to improve processes or find efficiencies in support of the Legal and GR organization
  • Show flexibility as workloads fluctuate and be ready and willing to assume additional projects/work from others on the team as needed
  • Handle other administrative support as may be requested by the Legal and GR organization
  • Assist with data management projects including moving data from shared drives to SharePoint


About you:

  • Have a proven track record of providing excellent administrative support
  • Dependable, organized, detail oriented, and have excellent follow up skills
  • Possess a high degree of confidentiality and use discretion in all communication
  • Self-starter and able to identify areas that need attention or improvement
  • Meticulously organized and accurate in your work


Your experience includes:

  • Previous administrative support experience, preferably at a law firm or in a corporate legal department
  • Interacting and communicating at all levels within the organization, including executive, clients and internal customers
  • Strong computer skills, including proficiency in Microsoft Office (including Outlook, Word, PowerPoint, SharePoint, etc.), Adobe PRO, AV
  • Legal ebilling software, preferably SimpleLegal
  • ERP software, preferably Oracle or SAP
  • Project coordination and/or event management skills
  • Bachelor’s degree and/or equivalent experience

 

You might also have:

  • Minnesota Notary or willing to become one
