Administrative Assistant

Responsible for office/clerical functions and providing administrative support for the Director of Operations by relieving the executive of administrative detail. This includes, but not limited to compiling analysis for various financial and operational functions and follow up with site leaders to ensure timely/thorough/accurate completion of tasks. Will also coordinate budget preparation and records control processes and special management studies.


Core Responsibilities

  • Composes and type’s routine correspondence and reviews correspondence intended for review/signature of the executive for correct punctuation and grammar. Creates and develops presentations and/or organizational charts.
  • Receives, sorts, organizes and distributes incoming mail, faxes, mailings and other communication. Maintains and secures the confidentiality of personnel records and other correspondence.
  • Collects or prepares and reviews expense reports for accuracy and forwards to the appropriate Finance team. Ensures allocation of expenses in the proper ledger account.
  • Assists the executive in daily communications with direct reports and maintains the executive's daily calendar.
  • Coordinates meetings and various other appointments/events, as well as travel/hotel arrangements for the team and for visiting customers.


Qualifying Experience

  • High School Diploma, GED or equivalent, required
  • Degree preferred but not required. (Associates/Bachelors)
  • Minimum, three (3) years of work experience in an administrative role, required
  • Proficient in office equipment and software (such as MS Office, VISIO organization chart or other Windows platform software)
  • Strong planning and organizational skills with a proven ability to proactively prioritize and manage multiple tasks simultaneously.
