Administrative Assistant

What will I be doing?

The Administrative Assistant for HSM will primarily support the executive team. If you are detail-oriented, organized & enjoy multi-tasking, then this is the role for you. You will be responsible for calendar management, domestic & international travel itineraries, meeting & event planning, expense reports, and billing.


More specifically, you will:

  • Handle leaders' schedules including travel and accommodations, daily meetings, booking conference rooms, etc.
  • Prepare business letters, agendas, and presentations, typically using Microsoft Office.
  • Build partnerships with internal departments to resolve day-to-day administrative challenges.
  • Schedule and handle all meetings, interviews, events, and other similar activities for the executive and perform multifaceted general office support.
  • Assist in the preparation of regularly scheduled reports to include submitting and reconciling expense reports via Concur.
  • Drafts memorandums and business correspondence for the office based on minimal information, ensuring the completeness and accuracy of all documents provided.
  • Provide backup support for other administrative staff, as needed.

To fulfill this role successfully, you should demonstrate the following minimum qualifications:

  • Three (3) years of administrative experience
  • Proficient with Microsoft Office Suite (Outlook, PowerPoint, and Excel)
  • Travel up to 5%


It would be helpful in this position for you to demonstrate the following capabilities and distinctions:

  • BA/BS Bachelor's Degree
  • Experience booking travel internationally and the ability to work flexible hours to accommodate international support
